For transport operators & fleet owners
Trip Completed. But Is Your Invoice Still Waiting for POD?
Track trips, collect proof of delivery, record driver expenses, and see which shipments are ready for billing—from one transport operations dashboard.
A document-and-operations workflow designed to work without GPS hardware for its core use case.
The workflow
- 1Trip
- 2POD
- 3Expenses
- 4Invoice ready
The problem
Your trucks move every day. Your paperwork shouldn't slow down billing.
PODs arrive too late.
Signed documents live in drivers' WhatsApp messages and are difficult to match with trips.
Office staff chase drivers.
Repeated calls to collect proofs and missing details interrupt daily work.
Expenses are scattered.
Diesel, tolls, advances and other trip costs are recorded in different places.
Invoice readiness is unclear.
Teams cannot quickly identify completed trips that have all the documents needed for billing.
How it works
Three steps, one shared view
- 1
Create and assign a trip
Register customer, origin, destination, vehicle, driver and agreed freight amount.
- 2
Collect trip documents and expenses
Driver or office staff attach POD files and record diesel, tolls and advances.
- 3
Prepare billing
Office filters completed trips by POD Missing, Expenses Pending or Invoice Ready.
Interactive pilot preview
Work through a real-world scenario
A delivery is complete, but ₹26,000 in freight is waiting on paperwork. Take the operations role: verify the POD, reconcile driver expenses and see exactly what the billing team receives.

Fit
Who this is for
A good fit
- Regional transport companies coordinating drivers and trips manually.
- Operators using WhatsApp and spreadsheets for PODs and trip expenses.
- Dispatch and billing teams seeking a lightweight operational workflow.
Not ideal initially
Businesses requiring real-time vehicle telematics, route optimisation, hardware integration, freight brokerage marketplaces or a complex full-scale TMS before they can start.

Questions, answered honestly
Do drivers need a separate app?
The MVP can use a mobile-friendly submission flow. Whether a login-free link or a dedicated app is available depends on the final implementation.
Do I need GPS hardware?
No GPS hardware is required for the proposed trip, POD and expense workflow. Real-time vehicle tracking is outside the initial scope.
Can office staff upload PODs?
Yes, office-assisted document entry is part of the proposed workflow.
Does it generate GST invoices?
The first version focuses on invoice readiness and export. Statutory invoice generation or accounting integrations would be evaluated separately.
Can it manage driver diesel and toll expenses?
The planned ledger supports those categories and driver advances, with simple trip-based reconciliation.
Does it work with weak connectivity?
It is being designed for mobile phones and slow networks. Offline queueing will only be offered once it has been built and tested.
